Collections: A Guide for Creators & Curators

Collections let you bring related learning content together in one easy-to-discover place. They are flexible, shareable groupings designed to help learners explore a topic without the structure or completion logic of Tracks.

What Are Collections?

Collections are curated sets of learning content centered around a theme, topic, or skill—such as Python Basics, Leadership Essentials, or AI Resources. They can mix and match any type of content: articles, videos, courses, events, assessments, external links, and more.

Why use Collections?

  • Make content easier to discover

  • Curate topic-focused resource sets

  • Complement Tracks without adding required structure

  • Gather content from multiple Channels or creators

  • Highlight cross-functional topics

  • Feature curated sets in Channels for greater visibility

What You Can Do with Collections

✔ Curate mixed content

Group articles, videos, event series, courses, assessments, and external links into one cohesive theme.

✔ Feature them in Channels

Collections can be pinned or featured within a Channel. They appear in their own Collection row, and the first four items will be visible at a glance.

✔ Apply access restrictions

Like any content item, Collections can be restricted by:

  • Groups

  • Regions

  • Sites

  • Departments

  • Custom access policies

✔ Respect item-level permissions

If a Collection contains restricted or private content, users will only see items they have permission to view—even if they can access the Collection itself.

✔ Allow learners to save Collections

Learners can bookmark a Collection to their personal Library for easy access.


How to Create a Collection

Currently, only Admins can create a collection. Please follow these steps to create your first Collection

1. From the MyHub or Catalog click New from the dropdown and Create Collection

This opens the setup page.

2. Add basic details

Fill in:

  • Title

  • Description

  • Optional cover image or icon

  • Owner

  • Tags (optional)

3. Add access restrictions (optional)

Collections support the same access control options as other content items.

4. Add items

Click Add Items and search for any content in your instance.

You can add:

  • Articles

  • Videos

  • Courses

  • Event series

  • Assessments

  • Tracks

  • External links

5. Arrange the order

Ordering is optional: Collections allow you to arrange items in any order you prefer, but learners are not required to consume items in sequence

6. Publish

Click Save or Publish to make the Collection visible to learners.


Managing Items in a Collection

Add or remove items

From the edit view, you can:

  • Add more items

  • Remove items

  • Reorder items

Items update automatically

If an item inside a Collection is updated (title, description, visibility), the changes flow through to the Collection.


Featuring Collections in Channels

Collections can be surfaced directly in a Channel to help users discover curated material.

How they appear

  • Collections get their own dedicated row

  • The row displays the first four items inside the Collection

  • Clicking View All opens the full Collection

How to feature a Collection in a Channel

  1. Go to the Channel where you want to feature it

  2. Click Edit Channel → Featured Content

  3. Add the Collection

  4. Save


Permissions & Access Rules

Who can create Collections?

This depends on your instance’s settings. Typically:

  • Admins can create them

  • Some instances allow designated Creators/Curators to create them as well

Collection visibility rules

  • A Collection obeys its own access settings

  • Items inside may have stricter permissions

  • Users only see items they personally have access to

Private content behavior

  • Yes, Collections can include private content

  • Only users with permission to view the private content will see those items in the Collection


Saving / Bookmarking Collections

Learners can click Save to add a Collection to their Library.

What happens when a saved Collection changes?

  • New items appear automatically in the learner’s saved view

  • Removed items disappear

  • If the Collection itself becomes restricted, access will be limited accordingly


Best Practices for Using Collections

Do:

  • Use them for topical hubs (e.g., Everything Python, Leadership Essentials)

  • Combine content from multiple Channels

  • Feature them during launches or campaigns

  • Use Collections to simplify long Tracks by grouping supplemental content

Don’t:

  • Use Collections for required learning

  • Replace Tracks when structured, sequential learning is needed

  • Treat Collections as completion-based items


Frequently Asked Questions

Can I include private content in a Collection?

Yes. Only users with permission to view the private content will see those items.

Can users complete or enroll in a Collection?

No. Collections are non-completable and have no progress tracking.

Can Collections be nested?

Not currently. But a Collection can include content that contains nested structures (e.g., a Track with subtracks).

Do Collections support analytics?

They do not have Collection-level analytics yet, but each item inside the Collection tracks its own engagement.

Can I share a Collection publicly?

Only if your instance supports public content and the items inside the Collection are also eligible for public sharing.

Will a Collection show items that are hidden or archived?

Draft, hidden, or archived items will not appear to learners.
