User roles and permissions for content and Dashboard reporting.

A user assigned to a regular role by itself dose not have the necessary permissions to access the platforms reporting capability, however, a regular user who is a facilitator or maintainer does have content specific access to only the content they are a facilitator or maintainer of. Platform roles of Organizer and Admin also have access, but they are able to report from any content as well as all the Dashboards.

Facilitators, or maintainers, can only be assigned by another facilitator at the individual content level whereas roles can only be assigned by an Admin when editing a user's profile page which is found from a user search via the People Dashboard.

To access the Dashboards browse to the top right of any page, click on the drop down arrow from your profile name, then click on DASHBOARD, the 4th option from the bottom.

How account roles works

Regular - A regular user is your typical employee looking to discover and sign up for events. Such person may be able to create an event, if enabled in the system settings.

External - A placeholder so that a profile can be built for external individuals. In some cases, like when an external presenter is needed, users are configured to receive information (calendar invites, reminders) from the system. External users cannot log into PlusPlus.

Organizer - This is a platform Organizer, not to be misconstrued with an organizer of content, which is also referred to as a facilitator such as on events, or maintainer on some on-demand content such as courses. A system Organizer has access to everything on the platform with the exception being the system settings. System setting are exclusive to system Admins.

Admin - An Admin can do everything an organizer can plus update a user's permission settings, locations, and system settings.

Here are the roles and permissions required for users to pull a reports for all content.​

The best practice is to adhere to the principle of least privilege where we assign the least amount of platform permissions to perform a reporting task by granting a user-only facilitator (or maintainer) permissions of the content they need to report from.

To add a regular user as a facilitator please follow these steps:

  • From any content item off the Catalog or Dashboards click on the 3 dots on the right of the page, click Edit, then on the left side of the page click the hyperlink People

  • From there add the users that require permissions for reporting. Typically, for events, adding the Co-Organizer permission is sufficient.

  • From a course you'd like to add a user to be able to report from, following the same steps as above, adding the user as a Co-Maintainer is sufficient.
