How to switch and merge online/in-person enrollments

Learn how to change how you are hosting an already scheduled event (in-person or online).

Scenario

As an admin or content owner, you want to change enrollment methods for an event so that you can host it online or in-person and keep all the existing attendees in the event.

Solution

Switch or merge the enrollment method for the event, using the following steps:

  1. Access the event for which you want to change the enrollment method.

  2. Open the context menu (button with three dots) and select Edit.

  3. Go to Enrollment Capacity and click the appropriate Switch or Merge option.
    Options depend on the Enrollment Method set up for the event.


    • If you have both Online and In Person enrollment methods enabled, click Merge to Online only to make all enrollments online, Merge to In Person only to make all enrollments in-person.

    • If you have only the In Person enrollment method enabled, Switch to Online makes all enrollments online.

    • If you have only the Online enrollment method enabled, Switch to In Person makes all enrollments in-person.

  4. Save the event.
    A confirmation dialog appears for you to review your changes.


  5. You can choose whether to send notifications about the change to the people enrolled and waitlisted in the event .

  6. Click Confirm Update.

When would I want to switch or merge enrollment methods?

The most common reason to switch or merge enrollment methods is that an event presenter is going to present from a location different than originally planned. For example, they might have planned to present in-person but have to present remotely from an airport. Or, they might have planned to present online but want to change to in-person due to low attendance in the online side of the event.

What happens to enrollment caps and waitlists when I switch or merge enrollment methods?

  • The enrollment cap is retained from the merged or original enrollment method.

  • For a merge, the waitlist cap is retained from the merged method, unless the merge pushes total enrollments over the enrollment cap. In this case, the waitlist cap is the total of all overbooked attendees.

  • For a switch, the waitlist cap is retained from the original enrollment method, unless there are already people on the waitlist. In this case, the waitlist cap equals the number of people already waitlisted, preserving everyone's spot on the waitlist but not allowing any more additions before the event occurs.

  • You can increase the enrollment cap to move people from the waitlist into the event.

  • You cannot change the waitlist cap after a switch or merge. This is our way of ensuring no one enrolled ever gets removed from the event, since we always make room on the waitlist.

Is there a priority system for moving people on or off the waitlist?

If you increase the enrollment cap to move people off the waitlist and into the event, the earliest to enroll are promoted first. For merges, this begins with people enrolled in the merged enrollment method, then moves to people waitlisted in the chosen enrollment method, then to people waitlisted in the merged enrollment method.

If a decrease in the enrollment cap forces people to move to the waitlist, the latest people to enroll are demoted first. For merges, this begins with people enrolled in the merged enrollment method, then moves to the people enrolled in the chosen enrollment method.
